AI Profiling

Make your documents easier to find, your AI tools more useful, and your firm's knowledge easier to use.

Good metadata keeps a DMS usable, but busy people tag documents with the minimum: "Agreement," "Motion," "Other." AI Profiling reads your documents and adds specific, searchable metadata, so your team doesn't have to tag by hand. This resource shows you how to implement it with a qualified partner.

You don't have to become a metadata or PatternBuilder expert to enjoy the benefits of AI Profiling. Your partner handles the technical work: assessing your environment, configuring the solution, and refining it as results come in. Your team contributes what only you know, which is your documents, your terminology, and what a useful result looks like. Because your partner starts from your own examples, the result fits the way your firm actually works.

AI Profiling requires an ndMAX subscription that includes PatternBuilder.

What it looks like to implement AI Profiling

1

Find a qualified partner

Use the NetDocuments Partner Locator to find a qualified implementation partner. Use this resource to come prepared when meeting with your partner.
2

Choose a representative set of documents

Select documents that cover the range of what your firm manages: different practice areas, document types, and ages. Your partner uses them to see how your documents look today and to test the results.
3

Test and rollout

Review the results on selected documents. Check whether the metadata is accurate and useful. Then, agree on which documents to roll this out to and on what schedule.

Tips for working well with your partner

Agree on what success looks like

Describe what a good result looks like, including the searches people should be able to complete. Agree evaluation criteria with your partner before testing starts.

Share the labels and terms you already use

Write down the document types, practice areas, and other terms your firm already uses. Flag any that overlap or mean different things to different people.

Involve people who know your documents

Name one reviewer who knows your DMS and permissions, and one who can judge whether the results make business sense, such as an attorney or knowledge manager.
